Ordering fresh stock before your shelves run empty is the name of the game. But there’s a big difference between ordering twenty cases from a distributor and actually having those boxes sitting on your shop floor ready to sell. This guide explains how to manage supplier orders, track incoming inventory, and receive goods properly in DRX without messing up your register counts.

Keeping ordered goods separate from live stock

Rule number one of inventory management: never add expected supplier orders to your live register stock until the boxes physically arrive at your store! If you add items to your active count before the truck arrives, your cashiers might sell items you don’t even have yet, leaving customers disappointed and staff scrambling.

When goods arrive at your loading dock

  1. Count the boxes before signing the bill of lading: Compare the delivered goods with your vendor packing slip outside DRX. Check for damaged cases, expired items, or supplier substitutions.
  2. Log shortages with your vendor: If you ordered 20 units but the supplier only sent 16, note the 4-unit shortage with the delivery driver right then and there.
  3. Receive the actual count into DRX:
    • Open Products on web, or the Inventory tab on iPhone and Android.
    • Choose Add stock / Intake.
    • Enter the actual quantity physically received (16 units), not what you originally ordered!
    • Enter the total batch invoice cost so your FIFO unit costs calculate properly.
    • Click Confirm Intake.
Once confirmed, the new stock immediately becomes available for cashiers to sell at the register!
